Workflow

  1. Confirm the guest group and hosting limits

    Record confirmed and undecided RSVPs separately, the service window, seating, available help and a spending cap. Ask privately about meal and access needs; agree how last-minute changes will be handled.

  2. Build a menu with explicit quantities

    Choose mains and sides for the confirmed preferences. Use the BBQ calculator for your raw meat, prepared side and drink allowances and entered prices. For buns, plant-based mains or dessert, calculate one package item at a time using its stated yield.

  3. Price the complete shopping list

    Compare like-for-like quotes using the same weight or serving unit. Add fuel, ice, equipment, delivery and other supplies once in the event budget; include any tax or service charge not already in the quote.

  4. Check equipment and the weather decision

    Inspect the grill using its manual, verify permitted placement and fuel handling, and allocate separate raw-food and serving areas. Name the cook, food-service helper and weather decision maker. Identify indoor shelter and a cancellation message before inviting people outside.

  5. Cook, serve and close the event

    Use a food thermometer and the USDA reference for each meat. Keep raw-food utensils separate, monitor the holding setup and assign leftover storage. Record actual quantities used and receipts so the next BBQ starts from observations.
