Workflow

  1. Agree on the travel party and who pays

    Before RSVP or payment

    Before accepting or committing, list your travel party, required events, optional activities and who is responsible for each cost. Separate guest travel from the couple’s ceremony, reception and vendor budget. Confirm any host contribution in writing and do not deduct an unconfirmed promise from money needed for booking. Price main transport, lodging, meals not provided, local transfers, formal clothing, documents, insurance and any gift you choose. Enter the party’s own USD costs once and save the trip estimate.

  2. Compare complete stays and agree any shared allocation

    Before reserving

    Compare room-block and independent quotes for the same guests, dates, rooms, occupancy, inclusions and cancellation terms. Confirm event access, minimum stays, booking cutoffs, deposits, transport and excluded fees directly with the host or provider. Enter complete whole-stay quotes in Hotel Comparison. If sharing a rental, use Vacation Split only for the agreed accommodation total and selected allocation policy, then copy the scenario and record payer commitments separately.

  3. Build a dated arrival and disruption plan

    Before transport booking

    List each event with its local date, time and location, then work backward through arrival, transfers, check-in and preparation. Use the carrier’s current dated itinerary and verify any named-place time-zone differences for those dates. Choose a buffer based on connections, border processing, accessibility needs, likely disruption and cancellation options; no fixed 24-hour arrival rule guarantees attendance. Keep host contacts and a plan for missed connections or changed event times.

  4. Confirm travel documents and ceremony requirements

    Before irreversible commitments

    Check each traveler’s destination and transit requirements, passport validity and personal needs. Review insurance against the actual journey and activities rather than assuming all cancellation reasons are covered. Guests should confirm invitation, venue access and any accessibility arrangements. If you are marrying abroad, ask the responsible local civil authority about the legal ceremony, documents, translations, timing and officiant, and separately check recognition requirements where relevant. A celebration, travel booking or completed checklist does not establish a legally valid marriage.

  5. Prepare the personal list and ceremony attire

    Before packing

    Generate one traveler’s packing starter, then edit it for the dress code, planned events, climate, footwear and accessibility needs. Add each required formal outfit and accessory explicitly; a generic packing starter cannot know the ceremony requirements. Confirm airline baggage rules and any garment handling with the carrier. Include clothing worn in transit, the full laundry/drying interval and safe access to essentials if checked baggage is delayed.

  6. Reconcile receipts, refunds and shared commitments

    After purchases and changes

    Record your party’s actual USD purchases and received merchant refunds in the expense ledger. Keep receipts, booking references and original-currency settlement evidence. Track who owes whom and any host or guest transfers in a separate agreed record: this ledger distinguishes traveler and employer, not individual wedding guests. Do not record money received from another guest as a merchant refund or duplicate a deposit when paying the final balance. Reconcile canceled bookings, pending claims and returned security holds separately.
