How it works
Updated 2026-09-07Add entered costs
Total cost is venue plus guests times food and drinks per guest, plus decorations, entertainment and other costs. Amounts accept cents; the total is calculated using integer cents.
Compare a spending limit
An optional limit shows remaining room or the amount over the limit. A blank limit omits this comparison; an entered zero is a real zero-dollar limit. The per-guest figure is an average rounded to cents.
Reconcile actual spending
The separate comparison mode subtracts planned total from actual total for the same expense scope. Divide that difference by a positive planned total for percentage change. A zero-dollar plan has no defined percentage change.

Example Scenarios
Six guests at $8.50 for food and drinks, plus $4 in supplies and zero other costs, totals $55. A $60 limit leaves $5.
With the same $8.50 food allowance and $4 fixed supplies, eight guests total $72. Update any other charges that also change.
An actual total of $55 against a $60 plan is $5 under plan, about 8.33% lower. This difference alone does not measure event success.
Common Mistakes to Avoid
Common Mistakes to Avoid
Comparing different expense scopes
Use the same categories and USD currency for planned and actual totals.
Assuming an average is an exact bill split
Cost per guest is an average; rounding and unequal contributions need a separate allocation.
