Workflow

  1. Describe the care the household actually needs

Include accessibility, communication, meals, medication arrangements if relevant, and the family’s priorities. Keep different requirements in separate child or group plans.

  2. Verify providers and current availability

    Check licensing or lawful exemption and available inspection information through the responsible state or territory. Confirm the place, hours, age group, staffing arrangements, approach to concerns and ability to provide the child’s needed support. Visit where possible and review the family handbook and emergency procedures.

  3. Find gaps in the care timetable

    Enter the required windows, including travel and handoff time, and only care windows that are confirmed for this child or group. Review uncovered intervals. Make another case for holidays, scheduled closures or a changed work week, and arrange suitable backup care for the gaps.

  4. Compare actual quotes and payment needs

    Use the written price for the whole covered group and its billing period. Include charged closures, registration, meals, supplies, transport, backup care and explicit discounts. Keep an additional refundable deposit and later reimbursement separate. If a work arrangement changes, compare actual take-home income and complete work-related costs.

    Ask the responsible programs about eligibility, available funding, provider participation and timing. Review any employer dependent-care plan and tax-credit interaction using current rules. For 2026 the federal dependent-care assistance exclusion limit is generally $7,500, or $3,750 for married filing separately, subject to conditions. Confirm the actual contract, booking and payment process.

  6. Review the care experience and actual costs

    Confirm pickup permissions, emergency contacts, communication and backup arrangements through the provider’s process. After care begins, review the child’s experience, attendance and actual invoices. Reconcile reimbursements when received and update both the timetable and costs after a material change.
