Document and Address a Workplace Conflict

Record workplace events, choose an appropriate support channel and follow up on actions while checking safety concerns and filing deadlines.

Workflow

  1. Identify the issue and immediate support needs

    Distinguish a work-process disagreement from threats, harassment, discrimination or another concern that may need a formal channel. If there is immediate danger, use appropriate emergency or workplace safety support. Review reporting options and decide whether a direct discussion would be appropriate and safe.

  2. Create a factual event record

    Record dates, locations, what happened, words you remember accurately, work effects and any witnesses. Separate observations from interpretations. Preserve documents you are entitled to keep and note where originals are stored. Download a copy of notes you need to retain.

  3. Prepare the conversation or formal report

    For an appropriate discussion, describe the specific behavior, its work impact and a concrete requested change. For a formal concern, use the relevant manager, HR, union, compliance or external process. Record the report, requested action and response rather than waiting for an arbitrary number of incidents.

  4. Check external deadlines independently

    If discrimination or retaliation may be involved, check the applicable agency process promptly. EEOC generally uses 180 days, sometimes 300; federal applicants and employees generally have a different process starting with EEO-counselor contact within 45 days. Internal resolution usually does not extend EEOC filing time.

  5. Review the response and changes over time

    Record agreed actions, owners and a review date. Note subsequent events and whether the work issue changed. If a concern remains unresolved or retaliation is suspected, seek appropriate advice using the actual facts and governing process. Keep personal wellbeing and immediate support needs in the review.
